VoltQuot ("VoltQuot," "we," "us," or "our") operates the VoltQuot software-as-a-service platform available at voltquot.com and related subdomains (the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the Service.

1. Information We Collect

We collect information in the following ways:

1.1 Information You Provide Directly

  • Account information: When you register, we collect your name, business name, email address, and password.
  • Business data: Client names and contact information, project details, estimate and invoice content, and price book items that you create within the Service.
  • Communications: If you contact us for support or inquiries, we retain those communications.

1.2 Information Collected Automatically

  • Log data: IP addresses, browser type, pages visited, and timestamps when you access the Service.
  • Usage data: Feature interactions, session duration, and error reports to help us improve the Service.

1.3 Information from Third Parties

If you sign in using a third-party authentication provider (such as Google), we receive your name and email address from that provider as permitted by your settings there.

2. How We Use Your Information

We use collected information to:

  • Provide, operate, and maintain the Service
  • Process your transactions and send related information
  • Send administrative communications (e.g., account confirmations, support responses)
  • Improve and develop new features of the Service
  • Monitor and analyze usage patterns

We do not sell your personal information to third parties. We do not use your business data (client names, estimates, invoices) for any purpose other than providing the Service to you.

3. Data Isolation and Multi-Tenancy

VoltQuot is a multi-tenant platform. Each subscriber account ("tenant") operates in a logically isolated workspace. Your business data — including clients, projects, estimates, and invoices — is never accessible to other tenants. Strict access controls are enforced at the database and application level.

4. Data Sharing and Disclosure

We may share your information only in the following circumstances:

  • Service providers: Trusted third-party vendors that help us operate the Service (e.g., cloud hosting, email delivery, payment processing). These vendors are contractually required to protect your information.
  • Legal requirements: If required by law, court order, or governmental authority.
  • Business transfers: In connection with a merger, acquisition, or sale of substantially all assets, your information may be transferred as part of that transaction.

5. Data Retention

We retain your account and business data for as long as your account is active. If you cancel your subscription, we retain your data for 30 days to allow for reactivation, after which it is deleted from production systems. Backups may retain data for up to 90 additional days.

6. Security

We implement industry-standard technical and organizational measures to protect your information, including encrypted data transmission (TLS), secure credential storage, and access controls. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.

7. Your Rights

8. Children's Privacy

The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children.
